Privacy and security

Only you can open your records. Not even us.

You hold some of the most private things people ever say out loud. Quietly is built so that nobody can read them except you. Not us, not our hosting provider, not anyone you haven’t invited.

How it works, in three steps

Most apps keep a readable copy of your records on their servers and promise to be careful with it. Quietly never has a readable copy at all.

  1. You write a note

On your phone, tablet or computer, the same way you always would.

  2. It’s locked on your device

Before it goes anywhere, it’s locked with your passphrase, on your own device.

  3. We only ever hold scrambled data

What reaches our servers looks like noise. Only your own devices can turn it back into words.

What we can and can’t see

Even if we were asked to hand over your notes, we couldn’t. We simply don’t have a way to read them.

We can never see

  • Your session notes
  • Your clients’ names and details
  • Risk flags, assessments or contracts
  • Documents you attach
  • Your bookings, money or outcome scores
  • Your passphrase

We do hold, to run your account

  • Your email address and sign-in times
  • The names of your devices, so you can remove one
  • Whether your subscription is active
  • Your records, scrambled, so they’re no use to anyone
Your passphrase

Why you’ll choose a passphrase when you start

When you set up Quietly, you’ll pick a passphrase: a few words you’ll remember. It takes a minute, and it’s the reason your records stay yours.

Your passphrase is the key that locks and unlocks your records. It never leaves your devices and we never see it. That’s why nobody else can open your notes.

It’s also why we can’t reset it for you. So we give you a spare key.

Forgotten your passphrase?

Your spare key opens your records and lets you choose a new passphrase. Keep it safe, away from your devices, and you’ll never be locked out.

The other ways we keep things private

Discreet emails to clients

Reminders carry only a first name, date, time and place, never notes. Subject lines never say “counselling”, so nothing private shows on a lock screen. The email service gets just what it needs to deliver, and it’s deleted once sent.

Lost a phone? Lock it out

See every device signed in to your account, and remove one from any other. It forgets everything the next time it connects.

Nothing in web addresses or logs

Client details never appear in web addresses, server logs or error reports.

No tracking. No ads. Ever.

No analytics, no advertising, no third-party scripts and no selling of data, in the app or on this website. We don’t even use cookies here.

Hosted in the UK and EU

Built for UK GDPR, with servers in the UK and EU. You stay in charge of your clients’ information; we look after it, scrambled, on your behalf.

Two-step sign-in

Add a code from an authenticator app when you sign in, so a guessed password isn’t enough.

Lost a device? Remove it.

See every device signed in to your account and remove one from anywhere. Your records on it stay locked behind your passphrase.

Your data, any time

Download everything you’ve put in whenever you like. Leaving? Take it with you.

Erase it when you choose

Delete your account and your records go from our live systems straight away. It’s your decision, not ours.

A plain word on GDPR

Under UK GDPR, you’re responsible for the information you keep about your clients. Quietly helps you keep it safely: locked with your passphrase, stored in the UK and EU, with only what’s needed collected, and a data processing agreement included in our terms.

This page is the plain-English version. For the formal detail, read our privacy notice and terms. Any questions at all, email hello@quietlymanage.co.uk.

Where is my data kept?

On servers in the UK and EU. And because your records are locked on your device first, what’s stored there is scrambled. Nobody at Quietly or our hosting provider can read it.

Can anyone at Quietly read my notes?

No. Your notes, client names and everything clinical are locked with your passphrase before they leave your device. We don’t have your passphrase, so we couldn’t read them even if someone asked us to.

What if I forget my passphrase?

Use your spare key. When you set up Quietly, you’ll be given a spare key to print or write down and keep somewhere safe. It opens your records if you ever forget your passphrase.

We can’t reset your passphrase for you. That’s exactly what keeps your records private, so please do keep the spare key safe.

Can my clients see anything?

No. Quietly is for you, not your clients. They never log in or see your notes. The only thing they receive is the emails you choose to send, like a booking confirmation or a reminder, which include just their first name and the date, time and place.

What if I lose my phone?

Your records stay locked behind your passphrase, so a lost phone doesn’t mean lost privacy. Sign in on another device and remove the lost one from your account.

Private notes, without the worry.

Try Quietly free for 7 days. Choose your passphrase, keep your spare key safe, and rest easy.
